DarkVision, a Koch Engineered Solutions company, is seeking an Operations Administrator to support DarkVision's expanding global Operations team. In this position, you'll play a key role in executing and continuously improving various business processes that underpin our industry-leading services. During this period of rapid growth at DarkVision, you’ll have the opportunity to shape the systems you work with each day (really – we mean this).
Prior experience supporting operations activities is beneficial, but not required. This role is perfect for you if you are confident with digital technologies, proactive, highly organized, and take ownership of your work. We're looking for someone who applies consistency and an eye for detail in their daily tasks.
Success in this role depends on your willingness to learn the intricacies of our field workflows and operations systems. You'll collaborate with our global team of 160+ professionals and be based in our North Vancouver office. What You Will Do
- Support Operations Activities: Collaborate with operations managers to execute and refine business processes, ensuring that procedures are performed consistently and correctly.
- Use and Oversee Field Service Management Software: Proficiently use and actively participate in the implementation of a new field service management software to streamline operations workflows. This includes data entry, system configuration, report generation, user training, and accurate record-keeping. Your involvement in the software implementation process will be instrumental to its success, and you will likely be the first point of contact (in-house super-user) for supporting users of this system.
- Equipment & Fleet Management: Support asset management activities including maintaining records, tracking maintenance schedules, renewing registrations, organizing new leases, and coordinating with relevant teams to ensure completion.
- Health, Safety, and Environment (HSE) Management: Track certifications, support audits, create reports, plan inspections, and manage training schedules in support of our global operations.
- Onboarding Assistance: Play a vital role in the onboarding process for new hires within the field operations team. Help coordinate training sessions, ensure necessary paperwork is completed, and provide guidance to newcomers as they integrate into the team.
Who You Are (Basic Qualifications)
- Experience in a coordination or administrative role within an industrial environment.
- Highly organized - on-the-ball, no matter the task; never miss a deadline.
- Detail-oriented and produce high quality deliverables.
- Adaptability - flexible and adaptable to evolving tasks and responsibilities.
- Excellent change management and influencing skills.
- Excellent communication skills, verbal and written.
- Tech-Savvy - comfortable with using technology, especially learning to use new software applications.
- Prior experience that demonstrates an ability to work in a busy environment with competing priorities.
What Will Put You Ahead
- Experience supporting field service or skilled trades.
- Respectfully assertive; able to tactfully obtain required deliverables from stakeholders.
- Customer service experience in a B2B setting.
